In this privacy policy, we, the companies of the 7NXT Group, inform you about the processing of your personal data in connection with your application to us.

Data Controller

The company within our group to which you are applying is responsible for processing your personal data as part of the application process:

Data Processing in Connection with Your Application

To manage your online application, we collect, process, and use the personal data you have provided to us via the online application form. Generally, you decide which data you enter and share with us. The mandatory fields include:

  • First and last name

  • Email address

  • Possible start date

  • Salary expectation

In your application, you can provide us with a link to your profile on networks like LinkedIn, Xing or other platforms. We also process the information you provide in the documents you submit, such as cover letters, resumes, and certificates. Additionally, we collect personal data from you during the interview process when we discuss your background and profile.

The legal basis for processing your application documents is Article 6 (1) b) of the GDPR, meaning the fulfillment or initiation of a contract between you and us.

We advise against providing us with sensitive personal data (Article 9 (1) GDPR)), such as your ethnic origin, marital status, political opinions, religion, health status, criminal record, or trade union membership. We generally do not require a photo and recommend against attaching one to your resume.

When you access the online application form, your internet browser automatically transmits usage data, which is stored in so-called server logs. These stored data include: the date and time of the visit, the name of the accessed page, your IP address, the referrer URL (the URL from which you reached the application page), the amount of data transmitted, and the product and version information of your browser.

For email communication with you during the rest of the application process, we use Google Mail. The emails are stored on European servers operated by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4. The emails are encrypted.

Recipients of Data

We only disclose the data we collect if:

  • You have expressly consented to this under Article 6 (1) a) GDPR;

  • The disclosure is necessary for the assertion, exercise, or defense of legal claims under Article 6 (1) f) GDPR, and there is no reason to assume that you have an overriding interest in not disclosing your data;

  • We are legally obligated to disclose under Article 6 (1) c) GDPR; or

  • The disclosure is necessary to fulfill contractual relationships with you or to carry out pre-contractual measures requested by you under Article 6 (1) b) GDPR.

Furthermore, it may be necessary to pass on your data to other companies as part of the application process or to exercise your data protection rights. In doing so, we comply with data protection regulations. Your personal data may be transferred to the following recipients in particular:   

  • 7NXT GmbH

  • Personio SE & Co. KG

  • JetHR S.r.l.

  • Other service providers who support us, e.g., with the recruitment process

We have data processing agreements in place with all processors to ensure that your personal data is processed exclusively in accordance with the instructions of the respective company to which you are applying and in compliance with appropriate technical and organizational security measures.

7NXT GmbH

The recruitment processes for the Berlin based parts of our group are organized centrally. In this context, the Human Resources department of 7NXT GmbH is responsible for the application process across the group and processes your personal data as a processor within the meaning of Art. 28 GDPR on behalf of the respective company to which you are applying.

The legal and data protection department of 7NXT GmbH is also responsible for the group of companies. If you contact us to exercise your rights under the GDPR, in particular via the address legal@7nxt.com, 7NXT GmbH will process your personal data (email address and the content of your message) regardless of which group company you are applying to.

Use of the Personio Tool

Certain data processing activities take place within the system of Personio SE & Co. KG (Seidlstraße 3, 80335 Munich, Germany), which provides HR management and applicant management services. If you apply to one of our companies based in Germany, Personio processes your personal data exclusively within the framework of the application process with us. Acting as a data processor under Article 28 GDPR, the provider operates based data processing agreements we have in place. You can find more information about how Personio processes your personal data at the bottom of this page.

Use of the JetHR Tool

Some data processing occurs in the system of JetHR (Corso di Porta Vigentina 13, 20122 Milan, Italy), which provides HR management and applicant management services. JetHR processes personal data exclusively within the context of the application process for Buddyfit. JetHR acts as a data processor under Article 28 GDPR, based on a data processing agreement between buddyfit and JetHR. For further information on how JetHR processes personal data, please contact buddyfit's applicant management team at careers@buddyfit.club

Other service providers

Furthermore, other service providers may support us. If we share data with our service providers, they may only use the data to fulfill their tasks. These service providers have been carefully selected and contracted by us, are bound to our instructions, have appropriate technical and organizational measures to protect the rights of affected individuals, and are regularly monitored by us. Service providers to whom we disclose personal data may be located outside the European Union. If there is no adequate decision from the European Commission for the relevant country (meaning that the level of data protection in that country is not comparable to that within the European Union), we apply appropriate safeguards for your personal data. Generally, the transfer of your data to third countries without an adequate level of protection occurs using the so-called EU Standard Contractual Clauses.

Storage Duration

The storage of personal data is generally only for the purpose of filling the vacant position for which you applied. Generally, your applicant data will be retained for 6 months after filling the vacant position and then anonymized. This is typically done to fulfill legal obligations or defend against potential claims from legal provisions.

Your Rights

Under the provisions of the EU General Data Protection Regulation, you may exercise the following rights with respect to us:

  • Right to access your personal data

  • Right to rectification

  • Right to restrict processing

  • Right to erasure (if deletion is not possible due to other legal regulations, the data will be blocked, making them available only for that legal purpose)

  • Right to data portability (in certain circumstances)

  • Right to object

If the processing of your personal data is based on your consent, you also have the right to withdraw this consent at any time without affecting the lawfulness of our processing based on your consent before its withdrawal.

To exercise any of the above rights or if you believe that we are unlawfully processing your personal data, please contact our data protection management at legal@7nxt.com, referencing your application.

Finally, you have the right to lodge a complaint with the data protection supervisory authority responsible for us. You can exercise this right with a supervisory authority in the Member State, among others, of your place of residence or the location of the alleged infringement.

In Berlin, where our group is based, with the exception of buddyfit, the competent supervisory authority is: Berlin Commissioner for Data Protection and Freedom of Information, Friedrichstr. 219, 10969 Berlin.

For Genoa, the headquarters of buddyfit, the competent supervisory authority is: Garante per la Protezione dei Dati Personali, Piazza di Monte Citorio 121, 00186 Rome, Italy.

The further development of our websites and apps, as well as the implementation of new technologies to improve our services, may require changes to this privacy policy. Therefore, we recommend that you review this privacy policy from time to time.

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. Without this data, it would, in some cases, be technically impossible to deliver or display the contents of the software. In addition, processing this data is absolutely necessary under security aspects, in particular for access, input, transfer, and storage control. Furthermore, this anonymous information can be used for statistical purposes and for optimizing services and technology. In addition, the log files can be checked and analyzed retrospectively when unlawful use of the software is suspected. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. Generally, data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp of the access to the software is collected. The scope of this log process does not exceed the common log scope of any other site on the web. These access logs are stored for a period of up to 7 days. There is no right to object to this.

Error logs

So-called error logs are generated for the purpose of identifying and fixing bugs. This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected. These error logs are stored for a period of up to 7 days. There is no right to object to this.

Use of cookies

So-called cookies are used on parts of this recruitment website. They are small text files which are stored on the device with which you access this recruitment website. As a general rule, cookies serve the purpose of ensuring secure access to a website (“absolutely necessary”), implementing certain functionalities such as standard-language settings (“functional”), improving the user experience or the performance of the website (“performance”), or placing targeted advertisements (“marketing”). On this recruitment website, we generally use only cookies that are absolutely necessary, functional or performance-related, in particular for implementing certain default settings such as language, for identifying the job advertising channel, or for analyzing the performance of a job advert via which a user accessed this recruitment website. Rights of data subjects

KG as the controller processes personal data, you as the data subject have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), depending on the legal basis and the purpose of the processing, in particular the right of access (article 15 of the GDPR) and the rights to rectification (article 16 of the GDPR), erasure (article 17 of the GDPR), restriction of processing (article 18 of the GDPR), and data portability (article 20 of the GDPR), as well as the right to object (article 21 of the GDPR). If the personal data is processed with your consent, you have the right to withdraw this consent under article 7 III of the GDPR. Concluding provisions

Personio reserves the right to adjust this data privacy statement at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the services offered, for example when new services are introduced.
